DASH Actions: create records, log activities, and run workflows by chat

Tell DASH what happened and it does the data entry — creating records, logging visits, scheduling follow-ups, even pulling contact details out of a photo. Nothing is saved until you confirm it.

What DASH Actions is

DASH answers questions about your data. DASH Actions is the other half — it does the work.

Instead of opening a record, finding the right field, tapping through a form and saving, you tell DASH what happened in the same plain language you'd use with a teammate:

"Log a visit on Wendell McDaniel, 30 minutes, Not Interested."

"Create a lead for John Smith at 123 Main St."

"Update the deal stage on Acme Roofing to Closed Won."

DASH turns that into structured SPOTIO data, shows you exactly what it's about to write, and saves it once you confirm. It works the same way on web and on mobile, and it all happens inside DASH chat — you don't leave the conversation to finish the job.

Nothing saves until you confirm it

This is the part worth knowing before anything else.

Every time DASH is about to write to SPOTIO — create, update, delete, log, schedule — it stops and shows you a confirmation card first. The card lays out the structured data it intends to save: the record type, the fields, the values, the date and time.

From there you can:

  • Confirm — DASH executes and writes the data
  • Edit — adjust anything DASH got wrong or left blank, then confirm
  • Cancel — nothing is written

DASH never writes to your data silently. There is no mode, setting, or phrasing that skips the confirmation step. If you asked for something and no confirmation card appeared, nothing was saved.

Lookups don't need a confirmation — nothing is being written. Everything in the first two rows does.

DASH already knows where you are

You rarely need to spell out which record you mean. DASH picks up context from the screen you're on — an open record, a list view, your calendar — so "log a visit here as Not Home" works without naming the record or repeating the address.

 

One request, several actions

A single request can trigger a chain of related actions:

"Create a lead for this address and schedule a follow-up next Tuesday at 2pm."

"Log a visit on this record as Pitched, and schedule a follow-up call Thursday at 10am."

DASH shows you everything it's about to do on one confirmation card. Confirm once and all of it executes — and you get a link to each thing it created.

This is where most of the time saving comes from. The pattern that loses data isn't the logging itself; it's the follow-up that never gets scheduled because logging the visit already took long enough.

Photo capture: turn paper into records

Attach a photo to DASH chat and ask it to create something from it. DASH reads the image, pulls out the structured data, and drops it into the same confirmation card you'd get from a typed request.

It works on the paper that piles up in the field:

  • Business cards — "Create a lead from this."
  • Sign-up sheets from an event — a printed list of names and phone numbers becomes a batch of records, previewed before they're saved.
  • Printed quotes, contact lists, forms — anything with readable contact or account detail on it.

Check the extracted values on the confirmation card before you confirm — a smudged phone number or a handwritten name is worth a two-second glance.

Getting to what you just created

Every completed action comes back with a link — Go to record or Go to activity — that takes you straight to what DASH just made. Bulk actions return a link to the full set.

You don't have to search for the record you just created to check it, and you don't lose your place in the conversation to open it.

 

Email and text drafting

DASH also drafts customer-facing emails and text messages from a short prompt, using the record's own context — details, activity history, notes, and prior interactions.

"Draft a thank-you email to the contact on this record referencing today's visit."

DASH writes the draft; you edit it and send it. As with everything else, nothing goes out without you.

This capability requires SPOTIO's email and texting features on your account. If you don't see it, that's what to check first.

 

Asking for things well

DASH is flexible about phrasing, but a few habits get better results:

  • Say the result, not the steps. "Log a visit, Not Interested, 30 minutes" beats "open the activity form and…"
  • Include the details you want captured. Duration, result, date, time — anything you leave out, DASH leaves blank or asks about.
  • Use relative dates freely. "Next Tuesday at 2pm," "Thursday afternoon," and "tomorrow morning" all work.
  • Bundle what belongs together. Logging what just happened and scheduling what comes next is one request, not two.
  • Read the card, not just the reply. The confirmation card is the source of truth for what's about to be saved.

What DASH Actions doesn't do

Worth setting expectations on, so you know where the edges are:

  • It doesn't act on its own. Every write waits for your confirmation. There's no autonomous mode.
  • It doesn't replace the SPOTIO interface. Anything you can do in DASH you can still do the traditional way, and plenty of work — reporting, settings, bulk administration — belongs in the UI.
  • It doesn't build custom automations. DASH performs the supported actions listed above. It isn't a workflow builder.
  • It doesn't widen your access. DASH acts as you. If your role can't see or edit something, neither can DASH on your behalf.

Data logged through DASH is normal SPOTIO data

Records and activities created through DASH are structured exactly like ones created through the traditional interface. They appear in the same lists, dashboards, leaderboards and reports, and they count the same way.

DASH is a faster way into the same data — not a second, parallel set of it.

 

Admin setup

(Account Admin permissions required)

  1. The account needs DASH Actions enabled. Action-performing is provisioned at the account level. If the permissions below don't appear for you, the account doesn't have it yet — contact SPOTIO Support.

  2. Turn it on per role. In Settings → Permissions, open a role and go to the AI Capabilities tab:

    1. AI Chat — access to DASH chat itself

    2. Perform Actions — lets DASH act on the user's behalf. Requires AI Chat.
    Grant chat alone for roles that should ask questions but not write data; grant both for roles that should log and create through DASH.

    The AI Capabilities tab only shows features your account is provisioned for. A role can't be granted something the account doesn't have.

  3. Shape how DASH responds (optional). DASH answers from the SPOTIO Knowledge Base, from company documents you've uploaded, and from the chat guidelines configured on your account — where you can set tone, define behavioral rules, name topics to avoid, and ask for consistent response patterns. Uploaded documents are how DASH learns your pricing, your process, and your product names.

Frequently asked questions

Can DASH change my data without asking?

No. Every write action — create, update, delete, log, schedule — produces a confirmation card first, and nothing is committed until you confirm it. Lookups and questions don't write anything at all.

I asked DASH to do something and nothing happened. Was it saved?

If no confirmation card appeared, nothing was written. Try again with the detail spelled out — record, action type, result, date.

DASH got a field wrong. Do I have to start over?

No. Edit the values on the confirmation card before you confirm.

Can I do all of this on my phone?

Yes. DASH Actions works on web and mobile.

Why can't I see DASH, or why can't DASH create anything for me?

Check the role you're assigned to. AI Chat controls access to DASH; Perform Actions controls whether it can write. Perform Actions requires AI Chat. Both live on the AI Capabilities tab of the role editor, and only an Account Admin can change them.

Can DASH see records I'm not allowed to see?

No. DASH acts with your permissions. It can't read, create, or change anything your role couldn't.

Does a record created through DASH look different in reports?

No. It's the same structured data as a record created through the interface, and it appears everywhere records normally appear.

How good is photo extraction?

Good enough to save the retyping, not good enough to skip the check. Read the confirmation card before you confirm — especially phone numbers and anything handwritten.

Can DASH create a record for someone else on my team?

Reassigning a record to another user is supported. What DASH can do on behalf of other users depends on your own permissions.

Can I connect DASH Actions to tools outside SPOTIO?
