Understanding the Appointment View - Android


When you are in the mobile app, when you open the mobile menu (by hitting the 3 lines in the upper right corner) you will now see Appointments as an option.  When you click into the appointment it will take you into the appointments view.

On the appointments page you will see any appointments that you have scheduled on your calendar.  If it is the first time you are visiting the appointments section, it will show you any appointments that you have scheduled.  If you don’t have any appointments scheduled currently you will see No Appointments.

You can easily add in your team members to see the appointments that they have scheduled.  To add in a team member’s calendar, you are going to want to click on the funnel to make their calendar visible.  When you open the funnels/filters you will be able to make a couple of changes:

  • Default Calendar – the default calendar will start as being your calendar as the logged in user. When you are adding in appointments, it will default the calendar you have set.  If you leave it assigned to yourself then all appointments will start with being assigned to you.  You can select a team member to have their calendar as default
    • This is great for a canvasser sales person team where the canvasser is regularly setting appointments for a sales rep to come out, then the canvasser can set their default calendar to be the sales reps calendar so when they are setting appointments it will start by going on sales reps calendar.
  • Company Calendars: The company calendars are where they can add in their team member’s calendars. They can check the box next to the names to make their calendar visible.

 Once you have selected the calendar(s) that you would like to see, click the back arrow to go back to the appointments view. 

  • When you have multiple reps appointments visible you will see that any appointment that is assigned to a team member will have a grey line next to it so you can easily see that it isn’t yours.
  • Your appointments will be green

Adding an Appointment to a Pin from Appointments Section

When you are inside the appointments page you can easily add an appointment to any pin or even add a new pin inside the appointments page.  To add an appointment, click the “ADD” button in the upper left corner.

  • Pick a Date: you can scroll through the dates to change the day that you are seeing the availability with.
    • Calendar icon in the upper right corner will allow you to change the date to several weeks in the future or change the months as well
    • To select the a date from the week just tap on the appropriate day you are wanting to book an appointment.
  • Pick a Time: select the time on the calendar that you are wanting to put the appointment.  If there is already an existing appointment at that time that is assigned to a different rep you can still tap on the hour time and it will take you to the edit appointment tab
    • Pin Name: This is where you will pick the pin that you want to set the appointment for.
      • You can scroll through the list of the pins to find the one you want
      • You can search for the pin you are looking for with the house number or street name to find the pin
      • You can add in a new pin – if the appointment that you are setting is for a new address you can select “New Pin” at the top of the list to go through the process of manually entering in the pin details
    • Name: This will show up on the calendar so make it something descriptive like ‘Roof Inspection’ or ‘Inspection Set’ or ‘Meet with Spouse’ or anything else that you would want to have describe the appointment
    • Location: This will automatically populate the address of the pin that you dropped
    • Start: This will be the start date & time that you selected from the calendar
    • End: This will automatically populate with an hour as the default length but you can change it to be a shorter or longer length of time by tapping on it and changing the end time
    • Calendar: This is where you will be able to change who the appointment is assigned to. It will automatically assign itself to the default calendar you set (you as the logged in users is the general default unless you have changed it under the appointments tab).
    • Notes: Here you can enter in any information that is tied the appointment that you want the person going to the appointment to have access too
  • When you have filled in the information, hit DONE to save the appointment and you will be taken back to the appointments page where you will now find the appointment added to the list
    • If you aren’t seeing it please double check that you are able to see the calendar for who ever you assigned it to
