I’ve Hired a new manager… now what

If you are part of a team, odds are at some point you are going to be bringing on someone who is going to be responsible for managing your canvassers, maybe they are coming in to help you or maybe you're growing so much your expanding and building out a whole new team.  Either way, you must get them trained and up to speed on how SPOTIO works quickly so they can be as effective as possible - quickly!

Have no fear! We have been listening and have put together a general training manual for you to want to make sure you cover with the new manager. Just remember, this is a general guide, if your business is a bit different then just eliminate the things they don’t need or you can add to it from the training for new users (stay tuned!).

Usually Managers inside SPOTIO will spend their time using both our web application and our mobile application so with we have broken down the checklist to the application type. You may see topics that overlap and that's because you can perform it on both the web and mobile.

Web App Training:

  • Map View: Is how they can see their PINs on a Map view and they should know how to add PINs by tapping and manually, re-knock pins and how to view the PIN history of each PIN. When looking at the PIN History they need to know what PIN Verified means
  • List View: Is where they can see the PINs listed out in a list.  The view can be customized by changing out what columns they see and they can open the PIN details by double clicking on the information or be redirected to the map by tapping the address.
  • Understanding the Filter Panel: Is where we give them the ability to drill down what they see when they are looking at the Map or List view.  They can filter down by users, statuses, dates, location verified and more.  We also have a search field which will search for details inside the PIN inside your database (it isn’t like google maps).  The filter panel is also how you can trigger bulk actions like bulk reassign or bulk changing statues.
  • Territory Management for Sprint or Business Plans only: If your business uses Territories you will want to make sure you educate the manager on how to add, edit, and remove territories.  This included how your company names the territories, and if you need to use the reassigning option that pops up if there are existing PINs.
  • User Management (Settings > Users > User Management):  Adding, Updating and Inactivating users on the team is a key component of managing users.  Make sure that they have a firm grasp of User & Pin permissions and what each user should be set up with based off what your team has been doing to date.  This will prevent any headaches as they add new users in moving forward.
  • Dashboard: That this is the graphical breakdown of how their team is performing over a given time.  It is based off the 5 KPI groups (attempts, contacts, qualified, lead and sales) that are tied to the Statues.
  • Reporting: This is how to get the granular breakdown of the dashboard or the history of each pin.  Understanding the types of reports, we have available and how to go about exporting them as well as creating a template for a report they may run regularly.
  • Calendar: This is where they can view the appointments added by the team as well as add any appointments to the team calendar.  

Mobile Application:

  • Map View: Is how they can see their PINs on a Map view and they should know how to add PINs by tapping and manually, re-knock pins and how to view the PIN history of each PIN.  Also, making sure they know how to change the map view and zoom in and out and find their location.
  • List View: Is where they can see the PINs listed out in a list. They can open the PIN details by double clicking on the information. This is where they also can search for a PIN on the mobile app.
  • Filtering (Funnel Icon): Is where we give them the ability to drill down what they see when they are looking at the Map or List view.  They can filter down by users, statuses and dates.  If there are filters applied then the icon is an orange color and PINs may not be showing if they don’t match their filters.
  • Territory Management for Sprint or Business Plans only: If your business uses Territories you will want to make sure you educate the manager on how to add, edit, and remove territories from the mobile app so they can make changes on the fly.  This included how your company names the territories, and if you need to use the reassigning option that pops up if there are existing PINs.
  • User Management (3 lines > Settings > Manage users):  Adding, Updating and Inactivating users on the team is a key component of managing users.  Make sure that they have a firm grasp of User & Pin permissions and what each user should be set up with based off what your team has been doing to date.  This will prevent any headaches as they add new users in moving forward.  Being able to do this from the mobile app means that they will be able to make changes no matter where they are.
  • Leaderboard: This is a friendly competition builder that show you how each rep is performing in comparison to each other. It is based off the 5 KPI groups (attempts, contacts, qualified, lead and sales) that are tied to the Statues.
  • Appointments:  This is the mobile section where they will see any current or future scheduled appointments.  Please keep in mind - at this time historical appointments are only visible inside the specific PIN or on the Calendar on the web app.
