Shareable Filters

Take team collaboration and efficiency to a whole new level with SPOTIO’s enhanced shareable My Filters. Admins and Managers can create filters and share them with the team, streamlining the process, allowing customizable access, and reducing duplication of effort.

Filter Visibility

Before diving in on how to create shareable filters, we must first understand the different visibility options available. Similar to many other visibility permissions in SPOTIO, creators have the ability to choose who can view the content being shared.

There are 5 different options available to choose from:

  • Private - Only the creator can view and apply it. 
  • Public - Everyone in the entire company can view and apply it. 
  • Territory - Share with users assigned to a specific area.
  • Team - Share with users assigned to a specific team.
  • User - Manually share with an individual user or groupings of users.

When selecting Territory, Team, and/or User, the category will expand, allowing you to choose from the available options for each. 

Once saving, this will create a new Shared Filters section visible just under the My Filters section for the recipient. The creator will have the filter saved in their My Filters section as usual. 

Creating Shareable Filters on the Web

Creating shareable filters will be very similar to how you create My Filters, which you can read more about in the Map Intelligence: My Filters article. 

To create shareable filters on the web:

  1. Click the Show Filters panel.
  2. Select the criteria you are looking for filter and/or colorize by.
  3. Click Save Filter under My Filters
  4. Enter a title and choose Filter Visibility.
  5. Hit Save when complete.

Pro Tip: Need to create a public shareable filter but displaying each individual rep’s records? Select Current Field Rep under the Field Rep filter before saving. This will show each rep their records falling into the filter guidelines created, all with one saved filter. 

Creating Shareable Filters on the Mobile

Just like on the web, shareable filters can be created on the mobile app by Admins and Managers, though the process is slightly different.

To create shareable filters on the mobile:

  1. Click the funnel icon in the top right.
  2. Select the criteria you are looking for filter and colorize by.
  3. Click Save Filter.
  4. Enter a title and choose Filter Visibility.
  5. Hit Done when complete.

FAQs

Can previously created filters be made shareable?

Yes! You can edit any of your previously saved My Filters on both the web and mobile. Once you select to edit, the Filter Visibility option will be available to select. Whatever adjustments are made, be sure to hit Save or Done when complete. 

Where can shared filters be used?

Shared filters can be applied on the mobile and web. On the mobile, you can apply in the Home, Map, Comms, and Performance icons on the bottom control panel. On the web, you can apply in the Home, Dashboard, Map, List, Comms, and Calendar icons on the left grey sidebar.
