SPOTIO's Log Activity Screen is a practical and efficient tool for any sales professional. It simplifies the process of logging activities and managing customer details, making it an essential part of your daily sales routine. By leveraging this intuitive screen, you'll find your workflow smoother and your customer records more comprehensive, helping you stay organized and focused on achieving sales success.

Components of the Log Activity Screen

The log activity screen is broken up into a few components that allow you to do different functions with your record. These include:
  • Activity Type
  • Activity Results drop-down
  • Activity Notes
  • Attachments
  • Follow-Up Toggle
  • Record Info (Fields)
  • Pipeline Stage drop-down
  • Other - Owner & Territory

Activity Type

Many companies use different activity types and results to track meaningful interactions across their sales process.

Up at the top of the screen we'll see "Log (Activity Type)" indicating which type of activity you are logging.

 

Activity Result

Below the Activity Type you will see a drop down where you can choose a result for an activity if Activity Results are configured by your Account Admin.

If no results are set up for the activity, this drop down will be absent from the page when you log that particular type of activity.

 

Activity Notes

Next, we have the Notes field. These are notes related to the activity you are currently logging and will be stored in the history attached to the activity.

Activity Notes have a 5000 character limit, so feel free to be as detailed as you would like!

 

Attachments

Under the Notes field, you'll see a paperclip icon that you can use to add attachments to the activity you are logging.

Like notes, these attachments will be added to the activity in the history, but will also appear under the "Files" section on the record once saved.

Follow-Up Toggle

Until a customer is Closed - Won or Closed - Lost, there will often be some next step or follow up activity needed for the Sales rep to move the customer out of their active Pipeline. SPOTIO makes scheduling these next steps seamless and intuitive with the Follow-Up Toggle.

The Follow-Up Toggle allows you to schedule a new activity while you are in the process of completing an activity.

Once you click the toggle to Follow Up, you can choose the Activity Type you'd like to schedule, a date and time for the event, set up a reminder, and edit the activity assignee. You can view calendar availability here as well. When you click "Log Activity" at the bottom of the page, your Follow Up will be scheduled on the calendar. 

 

Record Info

After you schedule your Follow Up activity, you can edit any of the other details in the Record including information in Custom Fields and the Pipeline Stage for this record if enabled.

Pipeline Stage

Tap the Pipeline Stage dropdown to adjust stages. Stages with required fields will display their fields with a red asterisk indicating they are required.

Record Fields

Tap "Show All Fields" to view all editable fields and enter information for your record like their Name and Phone Number, or any other details you want to capture.

Other

The last Section is for Other information including the Record Owner and Territory

Owner

Below your Fields, you'll see a section called "Other". Here, you can edit the Owner of the record if you need to reassign it to another user.

Territory

Under the Owner field you will see the Territory this record belongs to if it falls within the boundaries of a Territory. This value is assigned automatically when a record is within the boundaries of a Territory, so you cannot edit it here.

 

When you have finished making any edits to your details, scheduled your Follow Up activity, added your notes and attachments and chosen the appropriate activity result, click the yellow Log (Activity Type) button at the bottom of the screen to save your changes!

FAQ

How do I get to this screen?

There are a few different ways to get to the Log Activity screen: 
  1. Click "Add Visit Details" when you are logging a Visit
  2. Click the "Log Activity" button on an event on your calendar or in the "Upcoming" activity section of a record
  3. Click the Plus Icon and click Log Activity -- You will be prompted to choose an activity type, a record to log it on, and the result if configured for your selected activity.
