How to Format your CSV for Importing

SPOTIO gives you the ability to import an outside CSV file list into SPOTIO so you can drop PINs in bulk.  If you have ever imported to a different system before you can understand that the import process can be a bit tricky so we want to make sure that you have your list formatted correctly before you start importing.

There are 2 different options when you go through the import process.  If the entire list that you are importing is going to be going to ONE user and ONE status, then you can format your list a bit different then if your list is going to be assigned to MULTIPLE users and/or MULTIPLE statuses then your list will require a bit more formatting on your CSV prior to importing.

ONE user & ONE Status:

If the list you are wanting to import into SPOTIO is going to be assigned to one user and one status then the formatting of your list can be pretty simple.  In order for SPOTIO to be able to drop PINs into your account your list must include the full address of the PIN.  Here is an example of how the columns in your CSV file should be formatted:

Address
(House Number & Street Name)

City

State

Zip
/Postal Code

If you have any other information you can put it here): Name

555 Main St

Dallas

TX

75254

Julie Alton

** Please note that if your CSV File has the address split into House Number and Street name into 2 separate columns that will import correctly as well.**

When you go through the import process after you go through Step 2 you will be given an Import Wizard Popup that will ask you to select which user from the drop down list you are going to be assigning these PINs too and what status you want the PINs to go to when they are imported.

For an example on how to use the import wizard, check out the video below:

MULTIPLE Users and/or MULTIPLE Statuses

If the CSV file that you are going to be importing into SPOTIO is going to need to be assigned to multiple user or have the PINs dropped into multiple statuses, you can complete that during one import but your CSV File will need to have bit of additional formatting done do it as the import wizard only allows you to pick one status and one user for the entire list.

You will still need to include the full address for the PIN so SPOTIO knows where to drop the PIN.  Here is an example of how your columns in the CSV should be formatted:

Address (House # & Street Name)

City

State

Zip/Postal Code

** Please note that if your CSV File has the address split into House Number and Street name into 2 separate columns that will import correctly as well.

Anytime that you go through the import process you can have additional columns of data on your CSV file that you will be asked to match to fields inside SPOTIO when you hit Step 2 of the import process.  You can import as much data as you would like in the CSV but in order for it to be added to the PIN record you need to make sure that you have a correlating custom field created already.

If you are adding them to specific users or statuses prior to completing the import you will need to make sure you have that user added and the statuses your wanting to assign them to created.

Need a reminder on how to create custom fields?  Check out our creating custom fields section here.
