Overview: Duplicate records have long been a challenge in SPOTIO—leading to confusion, lost data, and inaccurate reporting. While the 2024 release of our Duplicate Record Prevention toggle helped reduce new duplicates, it did not address existing ones. With the new Merge Records feature, admins (and optionally managers) can now consolidate duplicate records into a single, clean source of truth—without losing important data.
Key Enhancements:
- A new Merge button is available on every record in the web version of SPOTIO.
- The tool recommends duplicate records based on matching addresses but also allows users to search and select additional records to merge.
- For each field, users can choose which record’s data to keep. They can also enable "Show Only Unique Values" to simplify this process.
- All activity history—including past and future scheduled activities—are preserved and merged into the final record.
- A Merge activity entry is created in the record’s timeline, showing who performed the merge and when it happened.
- Merge actions are also recorded in Usage Logs under
Event Type: Web Records Merged
, giving admins full visibility into changes.
✅ Benefit: Admins can now eliminate duplicate records without losing valuable data. This improves reporting accuracy, data integrity, and the overall user experience—giving reps and managers one unified place to track account history and interactions.
