Web App: How to Use the Pipeline & List Views on Web

We understand how crucial it is to have a clear, visual understanding of your pipeline. The ability to filter and manipulate data to spotlight specific records ensures you can track progress effectively and strategize for success. 

With SPOTIO’s Pipeline View and List View, you gain powerful tools to:  

  • Track progress: See exactly where your records stand in the pipeline.  
  • Plan effectively: Create actionable plans to guide your team toward closing deals.  

These features are designed to help you move confidently toward achieving your goals.  

Pipeline: Kanban View

The pipeline Kanban view gives you a clear picture of where your records are in your sales process. Each stage in your workflow shows up as a status in the Kanban. For users managing multiple record types, the Kanban view allows you to toggle between these types seamlessly, giving you an organized overview for each specific record type.

Pipeline: Kanban View Details

  1. Value and total number of records: these numbers represent the dollar value, if the value field is utilized within the individual records and the total number of records within your account.

  1. Stage Buckets: Inside each bucket, you’ll find individual record cards that show where those records currently sit in your pipeline.
    • Stage Value: the value of the records within that stage
    • Stage Percent: the percentage of the value from the whole account value
    • Add a new record: the plus sign at the top right corner of each stage bucket can be used to add a new record to that stage within the pipeline view

  1. Record Cards: details of the record cards are as follows
    • Name of the record
    • Address
    • Last time the record was updated
    • Record Owner
    • Value of Record
    • Number of Visits

  1. Bulk Action Buttons:
    • Bulk Change: this button allows for bulk actions to be taken on records that are viewable within the Kanban view. 
    • Export: this button allows for bulk export of the records viewed on the kanban.

Pro Tip: If your account has more than one record type, when toggling between the different types the data within the kanban view will adjust according to the record type that is chosen. 

Pipeline: List View

The pipeline list view is a spreadsheet view of the records within your account. This view is customizable to highlight specific data your team wants to see on a record. 

Tip: Using the gear on the right side of the list view allows you to adjust what columns are seen and reorder them. You can order and display columns based on importance.

Pipeline: List View Details

  1. Value and total number of records: These numbers represent the dollar value, if the value field is utilized within the individual records and the total number of records within your account.

  1. Columns: The columns in the list view pull data from the fields found within each record. This includes standard fields like Name, Stage, Address, and Record Owner, as well as any custom fields you’ve added to the record details. You’ll also see date/time columns like Stage Update, Updated At, and Recent Activity At, which update automatically whenever actions are taken on the record.

  1. Search Bar: The search bar lets you quickly find records that match the keywords you enter.

  1. Gear Box: The gray gear icon on the right side of the list view lets you customize which fields are displayed. You can also reorder the fields to prioritize the most important information at the front of the view.

  1. Bulk Action Buttons:

Filtering on Pipeline and List View

Filters can be used in both the Pipeline Kanban and List View to highlight specific records that you or your team want to focus on. By setting criteria in the filters, you can create a tailored view that’s focused on the exact records you need. 

Applying Filters on Pipeline and List View

How to Apply Filters on the Pipeline and List View:

  1. Pop out the Filter Pop-Out Bar
  2. Choose criteria in the sections of your choosing
  3. Filters that are chosen will adjust the overall view of Pipeline and List View
  4. Drop down My Filters section
  5. Save Filter- this can be used if you want to save the criteria chosen and easily apply the filter in the future.

Benefits of Using Filters on Pipeline and List View

Applying filters to the Pipeline and List View has many benefits. Not only can you highlight specific types of records, but it also helps you and your team focus on high-value records within your pipeline, ensuring you’re prioritizing what matters most. 

Best Practices with Filters

You can create custom filters based on record types, stages, team or territory, last visit results, and other fields found within your records. To learn more about filters go to our My Filters article

A few of our favorite filters to apply to the pipeline and list view are:

  • Days Since Filters: these filters highlight the days since the last activity or visit, these are also customizable to fit your workflow, how to customize filters and colorization can be found in our Using Custom Colorization article.
  • Number of Visits: this filter allows you to highlight records that have a specific number of visits or no visits at all.

  • More Fields: this is where you can add custom fields that you have created on a record to applied as a filter. To apply these fields as filters you will need to have “Use as a Filter” box checked within the field inside the workflow. 
    • Click the grey toggle button to bring up this list of fields that can be applied to your account. If your company utilizes the feature Lead Machine those fields will populate here as well.

Tip: Remember to apply the specific date that you want to focus on by using the date filter.

Pro Tip: Stacking and combining filters will allow you to filter to very specific records that meet that criteria and become super focused on those while weeding out the other records that do not meet the criteria chosen.
