How to format your import template

SPOTIO gives you the ability to import an outside lead list into SPOTIO so you can add leads in bulk.  If you have ever imported to a different system before, you can understand that the import process can be a bit tricky so we want to make sure that you have your list formatted correctly before you start importing.

There are multiple ways to import leads. If you have the address of the lead, it must be the full address, which includes, Address (house # and street name) City, State, and Zip. You can also import if you only have the Longitude & Latitude information, we will reverse lookup the address for you. 

In the import template, you will see 3 columns for address. If you have the full Street name and number together, you can leave Column B & C blank. If you have them separate, you can leave column A blank

Each account has a custom import template. This template will include all default and custom fields that are in your account. Once you have downloaded this template, remember DO NOT MAKE ANY CHANGES TO THE HEADERS.

To import more than your daily/monthly import limit, your file must include Full Address, Longitude & Latitude. More information in Tips & Tricks.

 

MULTIPLE Users and/or MULTIPLE Stages

If the CSV file that you are going to be importing into SPOTIO is going to need to be assigned to multiple users or have the PINs dropped into multiple stages, you can complete that during one import but your CSV File will need to have a bit of additional formatting done. Do it as the import wizard only allows you to pick one stage and one user for the entire list. If the Stage cell is blank for a lead, it will automatically be assigned to the first stage in your pipeline. If the Lead Owner Email cell is blank, it will assign the lead to the admin importing the file. 

You will still need to include the full address for the PIN so SPOTIO knows where to drop the PIN with the pin owner's email, as well as the correct stage.  Here is an example of how your columns in the CSV should be formatted:

** Please note that if your CSV File has the address split into House Number and Street name into 2 separate columns that will import correctly as well.

 

Importing in Last Visit Results 

If the CSV file will include last visit results, there are a few things that are required for this to import correctly. You will still need to include the full address for the PIN so SPOTIO knows where to drop the PIN with the pin owner's email, as well as the correct stage, visit result, and the date of that visit result. The date format must be one of the following:

TIPS & TRICKS:

  • If you have added new custom fields, you will want to download a new import template to ensure you can enter data into the correct fields. 
  • If you are adding leads to specific users or stages prior to completing the import, you will need to make sure you have those users and the stages added if you're wanting to assign them.
  • To import any Notes, you will need to ensure you have a Notes Custom Field (this can be MultiLine or Text field)
  • When importing addresses, ensure that you have one of the following combinations of information:
    1. Address (house # & street name), City, State, Zip, Country, Lat/Long
    2. House #, Street, City, State, Zip, Country, Lat/Long
    3. House #, Street, City
    4. Address (house # & street name), City
    5. Lat/Long
  • There are limits to the number of leads you can import:
    • Team Plans can import 5,000 leads per month with NO Lat/Long
    • Business Plans can import 10,000 leads per month with NO Lat/Long
    • Lead import limits are on a rolling monthly basis (ex. you import 5k leads on the 1st and 5k on the 2nd of the month, you'll be able to upload 5k more 30 days after the first upload and another 5k the next day.) 
    • If your file has Latitude/Longitude, the leads with Lat/Long will NOT count towards your daily/monthly import limit

Common Mistakes:

  • Changing headers on import template

  • Addresses entered into columns A B&C

  • No date entered in with last Visit Result

  • Importing over your lead limit
  • Not including all of the address components
