Can I pause or reduce my SPOTIO subscription?

SPOTIO does not offer a pause, but you can reduce your seat count or change your plan at renewal. Here is how it works and the deadline that applies.

Can I pause my SPOTIO subscription?

SPOTIO does not offer a formal pause on subscriptions. There is no way to suspend billing on a SPOTIO account and restart it later.

If your selling season has ended and you want to stop paying full freight until it starts again, the alternative is to reduce down to a minimum seat count prior to your next billing date or at renewal and scale back up when your season starts. For seasonal businesses this is almost always a better outcome than cancelling SPOTIO and rebuilding the account from scratch next season, because your data, your configuration, your custom fields and your history all stay intact.

How to reduce your SPOTIO license minimum

Reducing the minimum number of SPOTIO seats you pay for is a change at renewal, not a cancellation.

Like a cancellation, it requires written notice at least 30 calendar days before your renewal date. Thirty calendar days, not business days. A seat reduction requested inside the 30-day window may not take effect at the upcoming renewal.

To reduce your minimum seat count, contact your CSM or email support@spotio.com with the minimum number of seats you want to carry forward. If you are not sure of your renewal date, ask and we will confirm it in writing.

 

Before you reduce seats: You may not need to

Before you reduce seats, check who is actually in them. Licenses sitting with departed or inactive users may able to be reused instead — no contract change needed.

You can suspend a user in SPOTIO at any time and add a new user into that vacated license at no additional charge. Reps who have left the company can be suspended and their licenses reused for people who are actually in the field. See: Do I need to buy another SPOTIO seat when a rep leaves?

If you are are operating above your user minimum, make sure to reduce your seat count when you genuinely need fewer licenses. Reuse the seats when you have the right number of licenses but the wrong people in them.

 

Changing your SPOTIO plan

You may be able to move to a different SPOTIO plan at renewal rather than cancelling. What is available depends on your current agreement and which features your team relies on.

This is worth raising before you send any cancellation notice, because once the renewal has passed there is less room to work with. Contact your CSM or support@spotio.com.

 

Changes in the middle of your contract term

Standard SPOTIO agreements do not permit user minimum reductions or plan changes partway through a term.

If something has changed in your business and you need to make a mid-term change, contact your CSM or support@spotio.com. We will look at your situation with you rather than pointing at the contract.
