# Record Conversion: convert a lead to an account

## Set up conversion paths between record types, then convert records one at a time or in bulk, keeping the full activity history and SPOTIO ID.

***For:** Admins (setup) and any user with a Record Conversion permission · **Where:** Set up on web; convert single records on web and mobile, and in bulk on web · **Available:** All accounts*

---

Record Conversion changes a record from one type to another, such as a Lead to an Account, without recreating it. The record keeps its **SPOTIO ID** and **every activity ever logged against it**. An admin sets up which types can convert into which under **Settings → Workflow → Conversions**, and users with permission can then convert records one at a time or in bulk.

**Also called:** convert a lead, convert to customer, change record type, object conversion, promote a record.

---

### **Before you start**

- **To set up conversions:** you need access to **Workflow** settings.
- **To convert records:** your role needs **Record Conversion** (single records) and/or **Bulk Record Conversion** (bulk, web only). Account Admins set these in **Settings → Permissions**.
- **Both record types must already exist.** Create the target type in Workflow settings before building a conversion to it.
- You'll only see conversions into record types **your role can create**, and only on records **you can edit**.

---

### **What happens when a record is converted**

- **Same record, new type.** It keeps its SPOTIO ID. Conversion changes the type; it doesn't create a second record.
- **Mapped fields carry over** as set up in the conversion. The record takes on the new type's fields and layout.
- **All activity history stays.** Visits, calls, texts, emails, appointments, notes, and results logged before the conversion stay on the record.
- **A Record Converted entry is added** to the top of History, showing the type it converted from and to, who converted it, and when.
- **It starts in the first stage** of the new type's workflow, if that type has stages.
- **It's removed from any autoplays** it was enrolled in under its old type.
- **Integrations follow the record.** For accounts with integrations such as Salesforce, the record starts syncing under its new type. The original record stays in the external system.

---

### **Set up a conversion (admins, web)**

1. Go to **Settings → Workflow**. You'll see three columns: **Record Types**, **Activities**, and **Conversions**.
2. In **Conversions**, click **Add New**.
3. Choose the **source** record type (convert from) and the **target** record type (convert to) — for example, Lead → Account.
4. **Map the fields.** Every field on the target type is listed. For each one, choose which source field feeds it — for example, Last Name → Business Name. A counter shows how many fields and required fields you've mapped.
     - Click **Automap** to match fields with the same or similar names and matching types in one click, then adjust anything it missed.
     - For **single-choice** and **multiple-choice** fields, map each option inside the field too. Automap can match these by name.
5. Click **Save**. The conversion is live straight away for users with permission.

### **Mapping rules**

- **Every required field on the target type must be mapped** before you can save.
- **Field types must match** — single choice to single choice, and so on.
- **One conversion per pair.** A type can convert to more than one target (a Lead can convert to an Account *or* a Contact), but there can only be one Lead → Account conversion.
- **Parent connections.** If the target type has a different parent record type, you'll be warned that the conversion breaks that connection. Inherited values carry over only when both types share the same parent.

***If you add a required field to the target type later,** the conversion becomes inactive until you map that field. Users won't be able to convert along it until you* *do.*

---

Convert a single record (web and mobile)

1. Open the record.
2. Click the **Convert** icon at the top of the record — next to **Merge** on web, or next to **Edit** on mobile.
3. If the record's type has more than one conversion, choose the type to convert to.
4. Confirm. The record converts, and the **Record Converted** entry appears at the top of its History.

---

### **Convert records in bulk (web)**

You need the **Bulk Record Conversion** permission. Every selected record must be the **same type**, and one conversion applies to the whole selection.

**From List or Pipeline view**

1. Filter to the records you want to convert.
2. Select them with the checkboxes.
3. Choose **Convert** from the bulk actions menu, pick the target type if asked, and confirm.

**From Map view**

1. Filter the map to **a single record type** (for example, Leads only).
2. Use the lasso tool to select the records.
3. Choose **Convert** from the bulk actions menu and confirm.

Each converted record keeps its own history and gets its own Record Converted entry.

---

### **Who can do what**

| Permission | Where it's set in Custom Role Creator | What it allows |
| --- | --- | --- |
| **Record Conversion** | Records & Activities → Advanced Options | Convert individual records on web and mobile |
| **Bulk Record Conversion** | Other → Bulk Actions | Convert many records at once on web |

The two are independent: a role can have either, both, or neither. Setting up conversions is separate again — it needs access to Workflow settings.

---

### **Example uses**

- **A lead closes at the door.** The rep taps **Convert** on mobile. The lead becomes an account with its details carried over and every previous visit still in History.
- **Month-end cleanup.** A manager filters the list to closed-won leads, selects them all, and bulk-converts them to accounts.
- **Handing a territory to account management.** A manager filters the map to leads, lassoes a neighborhood, and converts the whole set.

---

### **If you can't see something**

**No Conversions column in Workflow settings.** Record Conversion is available on accounts using Flexible Mode. Contact SPOTIO Support if you think your account should have it.

**No Convert icon on a record.** Check three things: your role has **Record Conversion**; a conversion has been set up for this record's type; and you can edit this record.

**A target type is missing from the list.** You only see conversions into record types your role can create.

**"Not all required fields have been mapped."** The conversion is missing a required field on the target type — often because one was added after the conversion was set up. An admin needs to open the conversion in Workflow settings and map it.

**"Configuration error" when bulk converting.** The conversion setup needs fixing. Ask an admin to check it in Workflow settings.

**Convert isn't in the bulk actions menu.** Your role needs **Bulk Record Conversion**, and every selected record must be the same type. On the map, filter to a single record type first.

**Can't save a conversion.** Check that every required field is mapped and that each pair of fields has matching types.

---

### **Frequently asked questions**

**Does the converted record get a new ID?** No. It keeps its original SPOTIO ID.

**Do I lose the activity history?** No. Every activity logged before the conversion stays on the record.

**Can users convert a record to any type they like?** No. Records can only convert along paths an admin has set up in Workflow settings.

**Can I convert on mobile?** Yes, one record at a time. Bulk conversion and setup are web only.

**What happens in Salesforce?** The record starts syncing under its new type. The original record stays in Salesforce.
